Save report forms once and use them for all customer data

The best part is that once you save a view of the report’s format on one customer’s data, you can view the reports in the same format across all of the other customer’s data. Thus, the next time you analyze or audit any of your customer data, you can simply run these reports on the spot.

Let’s understand the saving view option in detail with some business scenarios.

Let’s start by saving a report format for determining cash outlays in excess of Rs 10,000/-

  • Open the customer data you want to audit
  • Open the group summary report in the following way:
    • View > Books of Account > Group Summary > Indirect Expenses
    • Ctrl + F12 > A voucher with “ledger amount” greater than 1001 and a voucher with ledgers with a name containing “cash”

You will get the report below, where all expenditures in excess of Rs 10,000 in cash will be shown.

This form can be saved for future use as follows:

  • Click the button L: Save view (or simply press Ctrl + L using your keyboard)
  • On the next screen, type in the name of the report form you want to use in the future – for example, “Cash spending exceeded 10,000″

Accept the screen. This report will be available in the Go To menu for all subsequent customer data you audit.

This will save a lot of time creating these reports every time you audit different data, and the report generation time will be reduced significantly.

Let’s take another scenario for Creditors exceed 180 days

  • Open the customer data you want to audit
  • Open the group summary report in the following way:
    • View > Books of Account > Group Summary > Miscellaneous Payables > F5: Ledger
    • Change View > Billwise
    • F6> Aging method> select <التقادم حسب تاريخ الفاتورة> Select “0 to 180 and in the next line from 180 to 0”

You will get the report below, in which all petty cash ledgers that have invoices due for more than 180 days will be shown.

This form can be saved for future use as follows –

  • Click the button L: Save view (or simply press Ctrl + L using your keyboard)
  • On the next screen, type in the name of the report form you want to use in the future – eg. “Creditors exceed 180 days”

Accept the screen. This report will be available in the Go To menu for all subsequent customer data you audit.

Similarly, you can create templates for many other reports and save them for future use. Next time, when you audit customer data, you can access it right away without having to reconfigure it again on the other customer’s data. Also, in another way, the reports can be configured as required and shared with Sr Auditor so that he does not need to do the same again on his system.
